PRIVACY, AGREEMENTS & WORKFLOW DESIGN

Sensitive conversations
deserve a
thoughtful setup.

Review the information, agreements, access, and handling rules a treatment-center workflow needs before it goes live.

THE BASIC FLOW
01

Define

Identify the information and operational purpose.

02

Review

Confirm agreements, access, and handling requirements.

03

Test

Check the actual data path and staff handoff.

Configured around your center’s approved process.

START BEFORE GO-LIVE

Get clear on how information moves.

Blueshirt’s current service information includes a Business Associate Agreement with onboarding. The agreements, vendors, configuration, and workflow should be reviewed against your center’s requirements.

01

Information collected

Decide what the workflow needs and what it should avoid gathering.

02

Access & destinations

Review who can access records and where information is sent.

03

Retention & oversight

Agree on record handling, retention, review, and incident contacts.

CONVERSATION BOUNDARIES

Keep the operational job clear.

Approve what the assistant can explain, the questions it can ask, and when it must involve staff. Review confidentiality requirements and outreach permissions with the responsible people at your center.

QUESTIONS & ANSWERS

Your questions, answered.

Is a Business Associate Agreement included with onboarding?

Blueshirt Media includes a Business Associate Agreement during onboarding before protected health information is handled. The agreement and proposed data flow should be reviewed for the specific service.

What information-handling details are reviewed before setup?

The review covers what information is collected, where it goes, who needs access, and how recordings and retention are handled. The configuration must reflect your center’s applicable requirements.

How are substance use disorder confidentiality requirements addressed?

Requirements for substance use disorder records need to be reviewed for your organization and proposed workflow. Consent, disclosures, vendor arrangements, and record handling should be agreed with your compliance team before activation.

Can our center decide what information the assistant collects?

Yes. Your center defines the approved questions, required contact details, conversation boundaries, and staff handoff during setup. Collection should be limited to the agreed workflow needs.

Can our compliance team review the workflow before launch?

Yes. Include the relevant privacy, compliance, and technical contacts during setup so agreements, access, data flow, and operational requirements can be reviewed before activation.
